Our client, a luxurious construction and development company is looking for an Office Manager. This is a direct hire, full time position. The hours are9 am to 5 pm Monday through Friday.
In this role you will:
- Implement and maintain organizational systems for enhanced office efficiency.
- Streamline document filing and retrieval processes.
- Track and ensure timely renewals of all company insurance policies.
- Maintain organized records of insurance documents for quick reference.
- Collaborate with insurance providers to address coverage-related inquiries.
- Ensure all contractor licenses stay current and renew as needed.
- Facilitate onboarding for subcontractors.
- Collect and verify subcontractor insurance documents.
- Assist in completing required paperwork and documentation.
- Maintain and renew vehicle registrations promptly.
- Oversee auto insurance renewals and inspections.
- Manage and reconcile E-ZPass accounts for company vehicles.
- Distribute mail to appropriate departments or team members. Manage outgoing mail, ensuring timely and accurate dispatch.
- Oversee minor building maintenance tasks or coordinate with facilities management.
- Address office-related issues, such as equipment malfunctions or repairs.
- Coordinate with external vendors for building-related services.
- Oversee issues with investment properties, schedule services, and maintain paperwork.
- Answer incoming calls professionally and courteously.
- Oversee and maintain team calendars.
- Schedule subcontractors, update systems, and ensure customer satisfaction.
- Confer with local municipalities to facilitate, complete, and collect required expediting paperwork.
- Proven experience in construction or a related field.
- Strong organizational and multitasking skills.
- Proficient in Microsoft Office Suite; experience with QuickBooks and Builder trend preferred.
- Familiarity with insurance documentation and subcontractor management is a plus.
